A well-organised event starts with shared expectations. Before contacting suppliers, prepare a brief with the date, venue, approximate guest numbers, style and the parts of the day that matter most to you.
Set the priorities together
Choose the areas where you want to spend most of your budget. Keep a separate allowance for changes and confirm which decisions must be made early. A shorter list of priorities helps suppliers suggest relevant options.
Compare what each package includes
Ask for an itemised description rather than comparing package names. For a photographer, clarify coverage hours, team size and delivery. For catering, confirm menu options, service staff, equipment and arrangements for dietary requirements.
Check the venue details
- When can suppliers arrive and set up?
- Are there restrictions on sound, decoration or outside suppliers?
- Who manages power, parking and waste removal?
- What is the alternative plan for outdoor arrangements?
- When must the venue be cleared?
Write down the decisions
Keep agreed deliverables, payment stages, cancellation conditions and change requests in one place. Clarify whether transport, overtime and taxes are included in each quote. Ask each supplier to confirm the final brief.
Give the day one point of coordination
Create a simple running order with arrival times, key moments and supplier contacts. Nominate who can approve practical changes during the event. Share only the contact information suppliers need for their role.
